The problem, plainly
Every season change, some slice of last year’s customers just… doesn’t come back. Not because they were unhappy — because nobody re-signed them, re-priced them, and put them back on the schedule in time. Renewal isn’t a sales problem; it’s a workflow problem. So we built the workflow.
Auto-renewing contracts
A contract carries the agreement: the term, the pricing model — per visit, per round, seasonal flat, monthly flat, or T&M — the annual uplift percentage, and the auto-renew toggle. From there, a nightly process does the remembering for you.
As a term end approaches, the contract enters its Renewing window: a renewal proposal is prepared and the customer has their opt-out period. When the window passes, the term rolls forward and the uplift is applied to the base amount — automatically. A three-year snow contract with a 4% annual bump just… continues, priced right, every year.

Renewing contracts are visible the whole time — cancel one during the window if a customer bows out.
The Renewal Wizard
For everyone not on a contract, the Renewal Reminders page shows every job and program due in a window you control — 30 days ahead by default, up to a year. From there the wizard copies them into the new season: programs with their round windows shifted forward, jobs with their line items uplifted, everything pointed at the right year.
Customers who haven’t said yes stay on the list — it never expires them — and the renewal-outcomes report tells you exactly what was accepted, declined, or pending, so you know who needs a call in February.

A nightly process watches every active contract. As the term end approaches — inside the renewal-notice window you set — the contract moves to Renewing status and a renewal proposal PDF is prepared. That window is the customer’s chance to opt out. Once it passes, the term rolls into the next year and the agreed annual uplift is applied to the base amount automatically. No yearly selection step, no spreadsheet.
You set an annual uplift percentage from 0 to 50% on each contract (and the same range is available in the Renewal Wizard for non-contract jobs). Set 0 to hold pricing flat.
Per visit, per round, seasonal flat, monthly flat, time & materials, and T&M with a cap — plus an optional prepay discount percentage. The contract handles the agreement (term and pricing); next year’s jobs and visits are still created through your normal renewal run.
It finds jobs and programs due for renewal in a configurable days-ahead window (1–365 days), then walks you through rolling them into next year’s season in three steps: review the selection, configure (target season, copy line items, price uplift, optional proposal PDFs per customer), and confirm. Renewed items drop off the list automatically, and each job or program can only be renewed once — so nothing gets duplicated.
A renewed program copies into the new year with every round window shifted forward and statuses reset. A renewed job copies the customer, site, description, and billing setup, points at the new season and program, and carries its line items with the uplift applied — then resets its workflow status so you treat it as a fresh sale to confirm.
They stay on the reminders list — it never expires them — so a late "yes" in March renews as easily as an early one in November. And a renewal-outcomes report shows what was accepted, declined, or still pending across the book.
Yes. During the Renewing window — before the term rolls — you open their contract and cancel it. Contracts without auto-renew simply reach their term end, and you renew those customers manually with the wizard if they’re staying.
