Daily dispatch board assigning crews to snow and ice routes

Why storms need their own workflow

Most software treats a storm like a Tuesday.

Snow doesn’t wait for your schedule. Generic field-service tools treat every plow push as a one-off appointment — so when the storm hits, you’re rebuilding routes by hand, texting crews one at a time, and reconstructing what got done a week later when it’s time to bill. A storm is one event with fifty visits inside it. It deserves to be dispatched, tracked, and billed like one.

1

Storm hits

Create the storm event: type, season, start time, trigger depth.

2

Dispatch

One pass generates a visit for every active snow job in the season. Crews assigned on the job carry over.

3

Track

The summary is a live dispatch dashboard: total, completed, and skipped counts as pushes finish.

4

Bill

Complete the storm — remaining visits close and queue for the nightly billing sweep. Invoices are ready the same day.

Dispatch in one pass

Every active snow job gets its visit. Nobody gets forgotten.

Storm visit generation targets every active job in your winter season — no per-job checklist to work through while the snow piles up, no commercial lot quietly missed because it was added in December. Onboard a customer mid-season? Re-run generation: it’s idempotent, so existing visits are never duplicated.

From there the route planner takes over: assign plow and salt crews, sequence the stops, and — if you memorized last storm’s route — apply the saved stop order in seconds. Crews see their list; the office sees the board.

On every storm event

  • Storm type — snow, ice, rain, or mixed
  • Trigger depth that set it off
  • Actual depth recorded at completion
  • Live counts: total, completed, skipped
  • Every visit linked to its customer and job
  • Statuses: forecasted, active, completed

Same-day cash

Plow tonight. Bill before the snow melts.

The worst part of a storm isn’t the night — it’s the week after, reconstructing who got plowed, when, and how many times. Here, completion is tracked as the work happens, and closing the storm queues every completed visit for billing. The money you earned overnight doesn’t wait on paperwork.

Customers pay by card or bank through a portal with your name on it. You connect your own Stripe and pay only Stripe’s standard rate — no platform fee on a single push. And your seasonal snow contracts renew themselves with a built-in price uplift, so the winter book doesn’t walk away in spring.

One system, both seasons

The same customers run your summer.

Storm Events all winter, program rounds all summer — the same customer records, the same crews, the same billing, one login. No exporting your snow book into a second tool in April, no running two systems for two seasons.

Questions

Snow & storm FAQ

How fast can I dispatch a storm?

Create the storm event — name, type, season, start time, trigger depth — and leave "Generate visits for all active snow jobs" checked. On save, a visit exists for every active snow job in the season. Assign and sequence crews from the route planner and they’re rolling. No rebuilding routes by hand at 2 a.m.

What if a customer signs up mid-season, or mid-storm?

Re-run Generate Visits on the storm. Generation is idempotent — jobs that already have a visit for this storm are skipped, so re-running is always safe. New snow customers get dispatched without touching anyone else’s visits.

Does a storm break my normal schedule?

No. Storm visits are generated outside your regular calendar work — the storm event is its own container with its own dispatch dashboard, so a Tuesday storm doesn’t collide with Tuesday’s booked appointments.

How does storm billing work?

Completing the storm marks its remaining visits complete and queues them for the nightly auto-billing sweep — so a long storm night turns into invoices the same day, not a paperwork backlog a week later. Customers can pay online by card or bank through your branded portal.

Can I track what actually fell?

Yes. Each storm records a trigger depth (what set it off) and, at completion, the actual snow depth — your record for per-inch billing and customer disputes. The summary dashboard tracks total visits, eligible jobs, completed, and skipped counts as the night unfolds.

Does it detect storms from the weather automatically?

No — your team creates the storm event and dispatches it in one fast flow. We’d rather be straight about that than imply the software watches the radar. What it removes is everything after the decision: visit creation, dispatch, tracking, and billing.

Which plans include storm dispatch?

Storm Events are available on the Pro and Scale plans. Core scheduling — including route-style plow-route management — is on every plan.
