Marketing Module Overview (Marketing)

The marketing tools help you win new work and keep the customers you have — personalized email campaigns and printed letters, saved audience segments, automated follow-up sequences, Google review requests, “work completed” emails to customers, and a daily brief email for you and your team. This article maps out where everything lives and what each piece does.
Before you start
- An operator account. Most marketing tools are under Tools → Mail Merge in the sidebar; a few live under Settings.
- Your email sending must be set up before any email feature can actually deliver mail. Email sending is configured for your account by your software provider (it is not something you set up on a screen in the app). Documents and PDF letters work without it.
- Customers and leads need email addresses on their records to receive campaign emails — anyone without one is skipped, not failed.

Steps
- Open Tools → Mail Merge in the sidebar. You land on Mail Merge Templates, with a tab strip across the top: Templates | Segments | Gallery | Sequences | History | Suppressions. This is the marketing hub — everything campaign-related is one tab away.
- To send your first campaign, start in the Gallery tab and click Add to my templates on a letter you like, then follow Email Campaigns.
- To automate review requests, open Settings and click Reviews & Referrals in the settings menu — see Review Requests.
- To get a daily summary email, open Settings and click Daily Briefs — see Daily Briefs.
- To email customers automatically when a visit is completed, open the Customer Communications page — see Work-Completed Emails. Note: this page currently has no menu entry; browse to
/CustomerCommsdirectly.
What happens next
Once your email sending is set up, everything email-related flows through the same safety rails automatically: every campaign email carries an unsubscribe link, recipients who opt out (or whose address bounces, or who mark an email as spam) land on your Suppressions list and are never emailed again, and a built-in frequency guard skips anyone who already received a campaign email in the last few days. Service emails such as invoices and receipts are separate and are not affected by any of this.
Tips & best practices
- Start with the Gallery. The seeded letters (Seasonal, Upsell, Retention, Reputation categories) are written for lawn and snow companies — editing one is far faster than writing from scratch.
- Build segments before you need them. A segment like “customers with a contract expiring within 60 days” pays off every season, and sequences can reuse it.
- Fill in your business address under Settings before emailing. Anti-spam law (CAN-SPAM) requires marketing email to show your physical address; the app warns you if it’s missing but doesn’t block the send.
- Turn on Reviews & Referrals early. It runs quietly in the background and steadily builds your Google profile while catching unhappy customers privately first.
Troubleshooting
- Emails aren’t going out anywhere (campaigns, sequences, reviews). Your email sending is most likely not set up yet. Campaign runs will show an error; automated features simply wait until sending is configured. Contact support to get email sending enabled.
- A customer says they’re not getting your emails. Check Tools → Mail Merge → Suppressions — if they previously unsubscribed, bounced, or complained, they’re on the list. Click Remove next to their address only if they’ve explicitly asked to receive email again.
- You can’t find “Marketing” in the menu. There is no menu entry named Marketing — the tools live under Tools → Mail Merge and Settings as described above.
- Looking for call tracking? Call tracking is not available yet.
