How to Update a Customer's Details (Customers)

A customer’s details — name, contact info, address, classification, active status, and tax status — are edited directly on their profile page. There’s no separate “edit” screen: the Information tab on the Customer Summary is a live form.


Before you start

  • An operator account with access to the Customers menu.
  • The customer must already exist — see Create a Customer.

Steps

  1. Go to Customers and open the customer (click their row or the View button). See List Customers.
  2. On the Customer Summary, make sure the Information tab (in the Profile group) is selected — it’s the default.
  3. Edit any of the fields:
    • Customer Name — required; the form won’t submit without it.
    • Email Address — must be a valid email format if entered.
    • Phone — must be a valid phone number if entered.
    • Address Line 1 / Address Line 2 / City / State / Zip Code
    • Classification — pick from your Classifications list (e.g. Residential, Commercial).
    • Active Customer — toggle off to mark the account inactive (kept on file, no longer serviced), on to reactivate.
    • Tax Exempt — toggle on for tax-exempt accounts.
  4. Click Update Customer at the bottom of the form.

What happens next

The page reloads on the same Customer Summary with a green “Success! Customer details updated successfully!” banner. If a value fails validation (for example an invalid email), you’re returned to the summary with a red error banner describing the first problem — re-open the Information tab and correct it.

Tips & best practices

  • Deactivate instead of deleting. Turning off Active Customer keeps the full history (jobs, invoices, notes) while marking the account dormant.
  • Keep the email current — it’s used for the Customer Portal login and for communications like invoices and estimates.
  • Customer address vs. job site address: the address here is the customer’s billing/mailing address. Where the work actually happens is a job site — edit those on the Job Sites tab instead (see Manage Job Sites).

Troubleshooting

  • The form won’t submit / “Customer Name is required” — Name is the only required field; make sure it’s filled in.
  • Red banner about email or phone — the Email field needs a valid email format and Phone a valid phone number. Clear the field if you don’t have the info.
  • “Customer not found.” — the record could not be matched when saving (for example if it was removed in another session). You’re returned to the summary; refresh and try again.
  • “An error occurred while updating the customer.” — the save didn’t complete. Try again; contact support if it persists.
  • Your changes didn’t seem to save — the Information tab reloads from the database after saving, so what you see after the green banner is what was stored. If a field reverted, it likely failed validation; check for a red banner.
