How to Create a Job (Jobs)

Creating a job sets up the work order you’ll schedule, staff, and bill against. Every job is tied to a customer and one of that customer’s job sites, and can optionally be linked to a season (for recurring maintenance) and/or a program (for fertilization/PHC rounds). Before you start

  • The customer must already exist, and they must have at least one job site on file. The Job Site dropdown only loads after you pick a customer, and if that customer has no job sites the form will tell you to add one from their customer page first. See How to Create a Customer.
  • Optional: have your Seasons and Programs set up if you want to link the job on creation — you can also link them later from the Job Summary. See How to Set Up Seasons and Programs.
  • Optional: know how the job will be billed if you plan to turn on Set Job Invoicing (billing mode and payment terms are required once the toggle is on).
  • Tip: many jobs are born by converting an accepted estimate instead of using this form — the convert path pre-fills the job for you. This article covers creating a job from scratch.

Steps

  1. Go to Work > Jobs and click Add Job. (You can also click the create-job button on a customer’s summary page — that opens the same form with the customer pre-selected.)

  2. Fill in Job Information:

    • Name (required) — the job’s name, e.g. “Harbor View — Mowing 2026”.
    • Status — defaults to Active; other options are Inactive and Completed. Leave it Active for normal new work.
    • Description — optional free text.
  3. Pick the Customer (required). The dropdown is searchable — start typing the customer’s name to filter. Picking a customer loads their job sites into the next field.

  4. Pick the Job Site (required). If the dropdown says “No job sites for this customer”, a hint appears: add a job site from their customer page (Customer Summary > Job Sites), then come back.

  5. Optionally link the job:

    • Season (Optional) — defaults to “None”. Link it for recurring maintenance so the job groups into the right service year.
    • Program (Optional) — defaults to “None”. Link it for fertilization/PHC so program rounds can generate this job’s visits.
  6. In Workflow Setup, pick a Workflow Type: Landscape Project / One-Time Work (default), Recurring Maintenance, or Program Round / PHC. This choice only switches the helper hints shown on the form — it reminds you, for example, that recurring jobs need a season and that recurring appointments are created from the Schedule page using visit schedule templates. It doesn’t lock the job into anything.

  7. Decide on Set Job Invoicing (toggle, off by default). Turn it on to enable automatic invoicing for this job; an invoicing section appears with:

    • Billing Mode (required when the toggle is on):
      • Per Visit — invoice each completed visit (default)
      • Monthly Fixed — one invoice per month
      • Seasonal Prepay / Manual — not batch-billed
    • Invoicing Terms (days) (required when the toggle is on) — payment terms, e.g. 30.
    • Billing Description — optional billing notes.

    Per Visit jobs are invoiced automatically when a visit is marked completed; Monthly Fixed jobs are invoiced automatically at the start of each month. Invoices are created for review on the Sales page — nothing is emailed automatically. Seasonal Prepay jobs are invoiced manually.

  8. Click Create Job. (Use Cancel or the Back button to return to the Jobs list without saving.)

What happens next

After you click Create Job, you land on the new job’s Job Summary page with a green “Job created successfully. Schedule the first appointment when ready.” banner. The new job starts with an Active workflow badge. From the summary you can schedule appointments, add products/services, upload photos, and create invoices — see Job Summary: Editing a Job.

If validation fails, you stay on the form with your entries preserved and a message such as “There are some errors in the form. Please correct them and try again.” above the fields.

Tips & best practices

  • Add the job site before you start. The “empty job site dropdown” is the most common dead end on this form — it means the customer has no job sites yet.
  • Include the year in the job name (“Mowing 2026”, “Snow 2026-27”) so renewals and multi-year history stay readable.
  • Link a season for anything recurring, even simple weekly mowing — year-end renewal tools find jobs by season.
  • Recurring visit schedules aren’t set on this form. Create the job first, then set up recurring appointments from the Schedule page (or the job’s Schedule Appointment button) using recurrence.
  • Not sure about billing yet? Leave Set Job Invoicing off — you can turn it on any time from the Job Summary’s edit form.

Troubleshooting

  • “Job name is required.” / “Customer is required.” / “Job site is required.” — the three core fields are blank; fill them in.
  • Job Site dropdown says “No job sites for this customer” — open the customer’s summary page, add a job site under Job Sites, then return to this form and re-pick the customer.
  • “Please select a valid customer.” / “Please select a valid jobsite.” — the selection didn’t carry through (usually after the page has been open a long time). Re-pick both and submit again.
  • “Invoicing Type is required when invoicing is set.” / “Invoicing terms is required when invoicing is set.” — with Set Job Invoicing on, both Billing Mode and Invoicing Terms must be filled. Either fill them or switch the toggle off.
  • “The selected season is not available.” / “The selected program is not available.” — the season or program was deleted while you had the form open. Refresh and pick a current one.
  • Error loading job sites alert — the job-site lookup failed; check your connection and re-pick the customer.
