Build a Custom Report (Reports)

The custom report builder lets you create your own spreadsheet-style reports. You choose a dataset (an area of your business like leads, jobs, or invoices), pick the columns you want to see, add filters and sorting, then run it to get a sortable, filterable grid. You can save reports to reuse them, clone the ready-made starter reports as a starting point, and save named views of a grid’s layout. Before you start

  • An operator account with access to the Tools -> Reporting menu.
  • Know which dataset your question lives in. The builder offers these datasets: CRM & Leads, Estimating & Proposals, Jobs & Work Orders, Scheduling & Routes, Billing & Payments, Products & Inventory, and Analytics Snapshots. A report is built against one dataset at a time.
  • Nothing needs to be set up first – the Reporting page ships with a set of Default Reports you can run or clone immediately.

The Reporting page at a glance

Open Tools -> Reporting. The page has two columns:

  • On the left, two cards: My Reports (the custom reports your company has saved) and Default Reports (the built-in starter reports that ship with the product).
  • On the right, the report runner – where results appear after you run a report.

Steps

Run an existing report

  1. Go to Tools -> Reporting.
  2. In My Reports or Default Reports, find the report you want and click Run.
  3. The results grid loads on the right with the report’s columns, rows, and a total row count. You can sort and filter columns directly in the grid.

Build a new custom report

  1. On the Reporting page, click New Report (top right). The Report Builder window opens.
  2. Enter a Report Name (required) and, optionally, a Description.
  3. Choose a Dataset from the dropdown (for example “Billing & Payments”). This determines which columns are available.
  4. On the Columns tab, the Available Columns list fills in based on the dataset. Check the columns you want and use the right-arrow button to move them into Selected Columns. Use Select All to grab them all, and the left-arrow button to remove a selected column. Drag items in the Selected Columns list to reorder them – that’s the order they’ll appear in the grid.
  5. (Optional) On the Sort tab, pick a column and a direction (Ascending or Descending) and click Add Sort.
  6. (Optional) On the Filters tab, click Add Filter to narrow the rows (for example, only invoices with a balance greater than zero).
  7. Click Save Report. Your report now appears under My Reports, and you can click Run to see it.

Clone a default report

  1. In the Default Reports card, find a starter report close to what you want.
  2. Click Clone. A small window asks for a New Report Name.
  3. Enter a name and click Clone Report. A copy lands in My Reports that you can then edit freely.

Edit or delete your own report

  • Edit: In My Reports, click Edit on a report (available on editable reports) to reopen the Report Builder with its columns, filters, and sort loaded. Make changes and click Save Report.
  • Delete: Click Delete, then confirm in the “Confirm Delete” window. This can’t be undone.

Note: The Default Reports are read-only starter reports. You can Run or Clone them, but you edit and delete only your own (cloned or newly built) reports.

Save a grid layout (saved views)

After you run a report, the results grid has controls in its header for saving how you’ve arranged it (which columns are showing, widths, sort, filters):

  • Save stores the current grid layout for that report so it comes back the way you left it.
  • Save As… stores the layout under a name you choose, so you can keep several Saved Views of the same report and switch between them.
  • Restore brings back a previously saved layout.
  • Fullscreen expands the results grid to fill the screen for easier reading.

What happens next

Saved reports stay under My Reports and can be re-run any time. Saved grid views are remembered for that report so you don’t have to re-arrange columns each visit. When you run a report, any numeric totals the report defines show as an aggregates strip beneath the grid.

Tips & best practices

  • Clone a default report to learn the builder. The starter reports (Lead Pipeline Snapshot, Estimate Margin Guardrail, Active Jobs & Visits, Schedule Capacity Board, Billing Readiness, Purchase & Inventory Watchlist, Weekly KPI Pulse) are good templates – clone the closest one and adjust its columns.
  • Add filters to keep reports fast and focused. A report scoped to “this month” or “unpaid only” is quicker to read than one returning every record.
  • Use Save As to keep multiple views. For a single report you can save a “wide” view with every column and a “summary” view with just a few, and switch between them.
  • Reorder columns by dragging in the Selected Columns list before saving – the grid follows that order.

Troubleshooting

  • “Available Columns” says ‘Select a dataset to see available columns’ – you haven’t picked a dataset yet. Choose one from the Dataset dropdown and the columns will load.
  • Save Report won’t complete / “Invalid report details” – a required field is missing. Make sure you entered a Report Name and chose a Dataset, and that at least one column is selected.
  • The report name is rejected as a duplicate – report names must be unique within your company. Pick a different name.
  • I can’t find Edit/Delete on a report – those actions are only on your own reports in My Reports. Default Reports can only be Run or Cloned; clone one first, then edit the copy.
  • Saved grid views disappeared – saved views are stored with your session. If you’ve been signed out for a long time, you may need to re-save a view.
