Reporting Overview (Reports)

The product gives you three different ways to look at your data, and it helps to know which one to reach for. This overview explains the difference between the custom report builder, the visual dashboards, and the built-in reports so you can pick the right tool for the question you’re trying to answer. The three flavors of reporting

1. Custom Reports (the report builder)

A build-it-yourself, spreadsheet-style tool. You pick a dataset (for example CRM & Leads, Jobs & Work Orders, Billing & Payments), choose which columns you want, set filters and sorting, then run it to get a sortable, filterable grid of rows. You can save your own reports, tweak the layout, and save named views of a grid. This is the right choice when you want a list of records you can slice, sort, review, and re-run later.

  • Where: Tools -> Reporting in the left sidebar.
  • Best for: “Show me every open lead by source,” “list all unpaid invoices older than 30 days,” “which jobs have a visit next week.”

2. Visual Reports (chart & KPI dashboards)

Four ready-made dashboards, each a set of KPI tiles and charts for a part of your business – Financial, Operations, Sales, and Customers & Programs. You don’t build anything; you pick a dashboard tab, choose a date range, and read the charts. This is the right choice when you want a visual pulse on the business rather than a row-by-row list.

  • Where: Tools -> Visual Reports in the left sidebar.
  • Best for: “How are collections trending this quarter,” “what’s my lead funnel look like,” “how many visits did we complete last month.”

3. Built-in Reports (module reports)

A handful of purpose-built reports tied to specific records – a Season Summary (with a CSV export), a Program Round Dashboard, a Capacity & Routes report, and a Renewal Outcomes report. These are generated for one season, program, or date range at a time.

  • Where: today the one you reach with a button is the Season Summary, opened from the Seasons list. (See the note in Built-in Reports about the others.)
  • Best for: end-of-season recaps, a per-program round breakdown, a day’s route capacity, and renewal win/loss numbers.

Tips & best practices

  • Start with Visual Reports for the big picture, then drill into Custom Reports for the detail. The dashboards tell you what is happening; the report builder tells you which records are behind it.
  • Custom reports are saved per company and can be re-run any time – build the ones you look at weekly once, and reuse them.
  • The Season Summary is the one built-in report you can export (CSV). If you need the other built-in reports’ data in a spreadsheet today, rebuild the equivalent with the custom report builder.
